Our privacy policy and how we use your data

This privacy policy explains what information domainmatch collects, why we collect it, and what rights you have over it. domainmatch is operated by Emailmovers Limited. If anything here is not clear, contact us at compliance@emailmovers.com.

What domainmatch does

domainmatch is a self-serve tool for signed-in users. You upload a list of UK company names or domains and we return the matched other side (a domain for a company name, or a company name and city for a domain), matched against Emailmovers' own UK business database. Matching is partial, not guaranteed: we do not claim to match every row in every upload, and we make no promise of a particular match rate.

Information we collect

  • Account information. Your email address and a password, handled by our authentication provider, Supabase.
  • Files you upload.The company names or domains you upload for matching, whether pasted directly or as a CSV file. These are business records, but we treat them as potentially containing personal data (for example, where a company name incorporates a sole trader's name) and handle them accordingly.
  • Match results. The output we generate from your uploads, stored temporarily so you can download it.
  • Billing information. If you subscribe to a paid tier, our payment processor, Stripe, collects your payment details directly. We do not store your card details ourselves.
  • Support correspondence. Anything you send us if you contact us for help.

Why we collect it

We use this information to:

  • create and secure your account;
  • run the matching you request and return your results to you;
  • email you when a background matching job has finished;
  • process payment for paid tiers, via Stripe;
  • respond to support requests and keep the service running reliably and securely.

We do not use your uploaded files or match results for any purpose other than providing the service to you.

How long we keep it

  • Account data is kept for as long as your account is active. If you delete your account, we delete your account data, save for anything we are required to keep for legal or accounting reasons.
  • Uploaded files and match results are kept only for as long as needed for you to retrieve them. Our target retention period is 30 days from upload, after which we aim to delete them automatically. If you need a copy, please download it promptly after your job completes.
  • Billing records are retained by Stripe and by us for as long as required by UK tax and accounting law.

Who we share it with

We never sell your data. We share information only with the service providers (data processors) who help us run domainmatch, and only to the extent needed for them to provide their service to us:

  • Supabase, for authentication and database hosting (our project is hosted in the London, UK region);
  • Google Cloud, for the matching backend (hosted in the London, UK region);
  • Stripe, for payment processing on paid tiers;
  • Resend, to send you transactional emails, such as a notification when your matching job has finished.

We may also disclose information where we are required to by law, or to protect the rights, property or safety of Emailmovers Limited, our users, or others.

International transfers

Our service providers host data in the UK and the European Economic Area. Where any provider processes data outside the UK or EEA, we rely on appropriate safeguards, such as standard contractual clauses, as required under UK GDPR.

Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate data;
  • ask us to erase your data;
  • ask us to provide your data in a portable format, or to transfer it to another provider;
  • object to, or ask us to restrict, certain processing.

To exercise any of these rights, email compliance@emailmovers.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) if you believe we have not handled your data properly.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the date at the top of this page.
